Policies and Rules Governing the Use and Rental of the
Margaret Williams Theatre
1. Procedures
a) Applicants must be a New Jersey City University department or organization, a for-profit organization, or a non-profit organization with a valid Tax-exempt Certificate and Number. All other applicants must receive special permission from the University to use the facilities.

b) Application for use of the Margaret Williams Theatre must be made to the Director of NJCU Theatres no later than one (1) month prior to the date requested. Persons executing the contract must be over 18 years of age. A representative of the organization must set up an appointment with the Director of NJCU Theatres to make final arrangements three (3) weeks prior to the event. At this time all costs will be assessed and equipment needs, physical set-ups and a contract will be finalized.

c) The organization must provide a certificate of insurance from a recognized insurance carrier or broker, with the University named as an additional insured/certificate holder, in the amounts of:
Bodily Injury and Property Damage
$1,000,000.00 each occurrence, $2,000,000.00 aggregate.

d) Any advertisements or marketing materials that refer to the University or the Theatre must be approved in writing by the University prior to publication and distribution.

e) The University retains the right to cancel any event with reasonable notice in the event the University is closed due to inclement weather or critical incident necessitating restricting access to the campus. If an organization wishes to cancel its reservation, it shall immediately notify the Director of NJCU Theatres, but not less than seventy-two (72) hours prior to the date of the event.

f) Permission to one applicant or for one purpose is not transferable to another or for another purpose. Misrepresentation of fact will result in loss of booking privileges for a period to be determined by the University.

g) Organizations will be responsible for the behavior of their members and any other persons they permit into the Theatre. Where any minors are in attendance, the organization must provide adequate adult supervision.

h) The organization shall be responsible for the care and condition of the facilities used and is liable to the University for any damage done to property, furniture or equipment. The University will not be responsible for articles of any description brought to or left at the University. When deemed appropriate the University reserves the right to request a damage deposit to be returned in full one (1) week after the event, provided no damages were incurred. New Jersey City University shall be held harmless from claims for damage or injury resulting from the use of its facilities.

i) All fire laws must be obeyed. Flammable materials for decorations or for any other purpose are not permitted. Open flames are strictly prohibited.

j) There is no eating, drinking or smoking allowed in the Theatre. Eating and drinking are allowed backstage, but there is no smoking allowed in any building on the University campus.

k) Where any scenery, decoration or other items are brought into the Theatre, such items are not to be stored in such a manner that will in any way interfere with any University function. No nails, screws or other fastening devices that may mar University property shall be used. The Theatre Manager must approve the placement of any scenery, decoration or other items.

l) University lighting, sound and audio-visual equipment will be operated by University employees whose time shall be charged to the applicant.

m) No portable equipment shall be removed from the University premises.

n) The Theatre Manager will inspect the facility at the conclusion of the event to ensure that minimum standards have been met.

2. Fees (subject to current rates at the date of the contract)
Please contact the Director of NJCU Theatres for information on fees and expenses related to use and/or rental of the Margaret Williams Theatre.
 
3. Payment
Only cash, money orders or certified checks shall be considered acceptable payment. No personal checks are accepted. Payment in full and proof of insurance is due to the University at least two (2) weeks prior to the event. Checks are to be made payable to New Jersey City University. Failure to provide such payment and/or insurance will be deemed sufficient grounds for the University to cancel the event.
